  • Job Description:

    The essential functions include, but are not limited to the following:

    Church Accounting and Administrative Duties

    • Sort and review daily incoming mail, identifying and routing accounting-related items such as invoices and checks.

    • Manage purchasing for church departments using church credit cards and purchasing accounts (e.g., Home Depot, Allen’s Flowers):

    • Ensure proper purchase order approval before placing orders.

    • Place orders and confirm accurate shipping details under the appropriate employee’s name.

    • Print and file order confirmations.

    • Reconcile monthly credit card and purchasing statements, gather supporting documentation, and code expenses to general ledger accounts for submission to the Accounting Technician.

    • Coordinate bulk and online orders for vendors such as Costco and Quill, including requisition preparation and order placement upon approval.

    • Process financial deposits:

    • Scan and submit checks through One Church and First Bank systems.

    • Match deposits to donor records within One Church.

    • Manually record donations received through external platforms (e.g., Stripe, Managed Missions) and physical donation envelopes.

    • Communicate with donors to resolve check discrepancies or donations intended for external organizations.

    • Maintain organized records of scanned checks and ensure timely shredding in accordance with the church's document retention policy.

    • Create and issue purchase orders in the Great Plains accounting system; communicate order details to appropriate staff.

    • Assist with project tracking for event budgets and requisitions by maintaining designated spreadsheets.

    • Prepare and distribute church-issued checks by verifying supporting documentation, applying the authorized signature stamp, and routing accordingly.

    • File accounts payable checks and related documentation.

    • Monitor and restock departmental office supplies (e.g., coffee, cups, toner).

    • Manage on-hand change, including coin rolling and preparing bank deposits as needed.

    • Assist with preparation for the annual financial audit and the mailing of year-end contribution statements.

    Cross-Departmental Support

    • Provide backup support for other accounting team responsibilities, including:

    • Assisting donors with online giving inquiries and updates.

    • Supporting employees with accounting procedures and required documentation.

    • Preparing cash deposits for weekly Wednesday Agape events.

    • Coordinating with the Accounting Technician on inventory management and assembling financial documentation.

    School Accounting Duties

    ·Stamp school-issued checks with the authorized signature stamp and coordinate weekly pickup.

    POSITION REQUIREMENTS & QUALIFICATIONS:

    ·High school diploma or equivalent required.

    ·Strong attention to detail and accuracy in financial data entry and recordkeeping

    ·Proficient in Microsoft Office, especially Excel; experience with accounting software (e.g., Great Plains, One Church) is a plus

    ·Excellent organizational and time management skills with the ability to manage multiple tasks and deadlines

    ·Strong written and verbal communication skills, including professionalism in donor and staff correspondence

    ·Ability to maintain confidentiality and handle sensitive financial information with integrity

    ·Willingness to support the mission and values of Maranatha Chapel, including regular attendance at weekend services

    Pay Range: $16.50-$19.00/hr.
